Our client, a boutique marketing and advertising agency, is looking for an Sales & Marketing Coordinator to support their CEO in driving the new business and marketing for the company. The agency is on a flex on and off-site working schedule so candidates must be open to going on site.
What you'll be doing:
Own the CEO's calendar, coordinating meetings, conference calls and all projects working directly with agency leads, clients, and external partners
Participate in and lead the planning and execution of the CEO's meetings and business trips
Identify scheduling conflicts and remove roadblocks by having a commanding presence with all vying for the CEOs time, including themselves
Support the CEO on the development of external facing communications such as client presentations, emails, etc. ensuring correct messaging, grammar and punctuation
Work with the agency leads to ensure key deliverables are being met including preparing reports, docs, presentations and more for the CEO's speaking engagements, new business meetings or other
Act as the study guide partner, preparing the CEO with all materials, briefs, etc. to ensure they are ready for all meetings and events
Lead internal and external agency initiatives to help drive the company's culture and success
Ensure the CEO's office is taken care of to ensure no disruption to business such as IT issues, office supplies, etc.
Act as the first line of defense to the CEO's time, screening calls, visitors and those vying for their attention to help the CEO stay on task
Ensure the CEO is staying on top of all follow up correspondence as necessary
Stay up to date with the CEO's social media presence ensuring that responses are being taken care of as necessary
Work with the CEO to understand their preferences for travel, etc. and keep files updated to ensure needs are met
Lead the administrative relationship with the company office building and liaise with external building vendors
Support the CEO with tech needs like Zoom, MS Teams, Slack, Mailchimp, etc.
Personal assistance to the CEO is needed every so often

About you:
3-5 years of experience in a Marketing or Advertising Agency setting
Desire to learn from a successful entrepreneur in the Marketing and Advertising space
A do what it takes mentality that will stop at nothing (within reason) to achieve your personal and professional goals
Strong ability to communicate in a professional setting with excellent oral and written communication (editing, spelling, etc.) in a confident and concise manner
Experience with and skills in full Microsoft Office Suite (Word, Excel, PowerPoint) as well as Google Docs, Sheets, Keynote, etc.
Interest in continuing education around new technologies and features that could be of use to the CEO
Ability to ramp up quickly to the agency process, understanding organizational structure, objectives, principles and environment
Lead and execute agency social events and functions
Other considerations:
This is not a 9-5 job. Your time will be required outside of normal business hours
Travel may be necessary from time to time
