We’re hiring a Visual Merchandising Coordinator/Admin for a hybrid, long-term contract opportunity based in West Hollywood, California. This role is onsite Tuesday through Thursday with remote flexibility on Mondays and Fridays.

Join our client’s Visual Merchandising team at a leading prestige beauty brand known for its innovative products and highly collaborative creative culture. In this role, you’ll provide essential project coordination and operational support across visual merchandising timelines, vendor communications, and asset management. This is a fantastic opportunity to contribute to the execution of high-impact in-store presentations and displays in a fast-paced environment.

Visual Merchandising Coordinator/Admin Responsibilities:

• Update and maintain timelines across Creative, Trade Marketing, and Visual Merchandising teams.

• Create and maintain master files for vendors, including POGs, graphic layouts, and add/delete files.

• Coordinate the creation, approval, and tracking of comp files.

• Manage office Visual Merchandise stock and prepare/gather gondola and merchandising items for vendor shipments.

• Organize and distribute instruction sheets (SIS, APAC, CTU, etc.).

• Review incoming repair and maintenance requests, track actions, and follow up to ensure timely resolution.

Visual Merchandising Coordinator/Admin Qualifications:

• 1–3 years of coordination or administrative experience (beauty, retail, or visual merchandising preferred). Internship experience may qualify.

• Exceptional organizational skills and attention to detail.

• Ability to manage multiple timelines, deliverables, and vendor interactions simultaneously.

• Proficiency in Excel/Google Sheets and comfort working within shared drives.

• Strong communication and follow-up skills.

• Must be comfortable working onsite in West Hollywood Tuesday–Thursday.
